Beyond the sticker price
The subscription fee or API cost quoted by a vendor is usually the smallest part of what AI adoption actually costs. Before any model can be useful, data typically has to be cleaned, organized, and made accessible in a consistent format, work that's often underestimated because it isn't visible in a product demo. Messy, scattered, or inconsistently labeled data is one of the most common reasons a promising pilot never makes it to production.
Integration is the next hidden cost. An AI tool rarely works in isolation, it has to connect to existing systems like a CRM, a support platform, or internal databases, and building and maintaining those connections takes real engineering time. None of this shows up on the vendor's price sheet, but it shows up on the project timeline and budget.
